Office Assistant
This position will serve as an office assistant, provide office support, and work under the direction of both the Executive Assistant to the President and Administrative Assistant to the Vice President of Instruction & Student Support
 
Essential Functions and Responsibilities
 
Data Research
  • Run Semester FTE Report;
  • Faculty Load Report data entry;
  • Assist with Faculty Workload Report;
  • Assist with gathering information for FTE Audit;
  • Assist with gathering information for SACs;
  • Working Calendar data entry
 
General Office Duties:
  • Make copies of documents
  • Transcribe minutes for certain meetings;
  • Update & assist with documents (e.g. contact lists, office manuals, handbooks);
  • Prepare Letters / Memos for mailing, etc.;
  • Assist with meeting set up, reserve rooms for meetings in R25;
  • Run errands (such as picking up lunches for meetings);
  • Prepare and Scan documents;
  • Assist with Convocation Program, Awards Night, and Graduation;
  • Other minor duties (e.g. Filing, Mailing labels, separate mail);

Minimum Qualifications
 
Education
 
Education equivalent to one-year community college diploma in business, office technology or computer field.
 
Knowledge and Skills
  • High level of proficiency with Microsoft Office Suite;
  • Excellent interpersonal, written and verbal communication skills;
  • Demonstrated administrative support experience;
  • Ability to get along well with others;
  • Demonstrated ability to work independently;
  • Willingness to learn new skills and take the initiative;
  • Ability to manage multiple tasks under shifting priorities;
  • Ability to interact appropriately and diplomatically with many different types of people;
  • Strong organizational, problem solving skills and attention to detail.
